NAME Invitation to Submit Abstracts to the 2024 Annual Meeting

All participants at the 2024 Annual Meeting of the National Association of Medical Examiners are invited to submit abstracts. Complete abstracts must be submitted online no later than 11:59 PM (Eastern) on Monday, April 8, 2024. Faxed, emailed or mailed abstracts are not acceptable. All accepted abstracts will be published in the NAME Annual Meeting Program. Abstracts that are eligible for publication (see “Eligibility for Publication” section) will be published in The American Journal of Forensic Medicine and Pathology (AJFMP)First authors of accepted abstracts are expected to present at the Annual Meeting summarizing their studies. All authors of abstracts must adhere to the NAME Scientific Integrity Policy.

Theme:
Learning Above The Clouds, Forensic Medicine in the Mile High City

Prospective presenters are encouraged to propose topics that encompass both personal interest and value to the death investigation community. Presentations are particularly welcome regarding new techniques, cutting edge technologies, administrative innovations, and novel partnerships in forensic pathology. We seek excellent proposals on any relevant topic. The Program Chair will organize related topics into sessions of similar content. 

PRESENTATION FORMATS

1) Workshop. Workshops will be greater than one hour in length. Use of multiple presenters within a workshop is encouraged. Presenters will have sufficient time for a detailed discussion of a death investigation topic.

2) Long Platform Presentation. These will be one hour or less in length. Use of more than one presenter is welcome, if appropriate to the topic.

3) Short Podium Presentation. These will be 20 minutes or less in length and recognizable as the more common format at NAME meetings. Presenters must focus on a narrow topic. Most presentations will be based on an individual case or small case series.

4) Poster Presentation.

NAME RULES FOR ABSTRACT SUBMISSION:

  1. Product or service advertisements are not appropriate for presentation. NAME reserves the right to exclude abstracts that promote commercial interests inappropriately or are viewed as unethical in content.
  2. Complete abstracts must be submitted online no later than 11:59PM (Eastern) on Monday, April 8, 2024. No changes can be made to abstract content or authors after the submission deadline.
  3. All abstracts must be submitted online. Faxed, emailed or mailed abstracts are not acceptable.
  4. Once an abstract is accepted, additional authors cannot be added.
  5. The Presenting (First) Author should be the primary contact.
  6. NEW FOR 2024 - Individuals may be the first/presenting author of one poster presentation and the first/presenting author of one platform presentation.
  7. Notification of acceptance or rejection and all future correspondence will be e-mailed to the Presenting (First) Author from the NAME office by June 15, 2024.
  8. NAME reserves the right to withdraw a presentation at any time.
  9. Accepted abstracts will be available online and in print.
  10. The Presenting (First) Author is required to register and attend the NAME Annual Meeting and present the paper or poster at the assigned time on the assigned day. He/she must be available to answer questions. If the Presenting Author is unable to attend the NAME Annual Meeting to present the paper or poster, every effort should be made to arrange for one of the other authors to present. Tara Snethen ([email protected]) must be notified of any change in presenters. The Presenting Author verifies that all authors agree to the publication of the abstract in AJFMP and the NAME Meeting Program. The Presenting Author verifies that all authors agree, and any supervisors have given permission, to the presentation of a scientific poster at the annual meeting.
  11. The Presenting (First) Author is responsible for notifying all other authors of acceptance, rejection, scheduling and any other information provided by NAME. The Presenting Author is responsible for compliance with the NAME Scientific Integrity Policy.
  12. If the author is submitting an abstract/presentation for consideration in any of the award categories, they must ensure they meet the appropriate criteria for the award and indicate their interest in the appropriate section in the abstract submission site. 

 ABSTRACT FORMATTING INSTRUCTIONS

Abstracts that are not submitted properly will receive an administrative rejection and will not be reviewed.

  1. Language: The abstract must be written in English.
  2. Presentation Format: Your paper may be presented orally or as a poster. You must indicate your preference. Space for oral presentations is limited and therefore the Program Chair and Committee may need to override your preference.
  3. Title: Title must be initial caps throughout. Do not capitalize pronouns, preopositions, articles, or conjunctions. Example: Lipoid Pneumonia in the Paralytic Patient after Brain Injury
  4. Abstract: Abstracts must be 400 words or less.
  5. Do not include references with citations in abstracts.
  6. Abstracts must be submitted properly. The online system is a database with data fields (title, author 1, author 2, author 3, etc) that are used to generate the published abstracts. Therefore, pay careful attention to the submission instructions and to the submission process. Ask for technical support (see link at top of submission screens) if you are not sure.
    Abstract Limits:
    Number of Authors: 8
    Abstract Title: 200 characters
    Abstract Content: 400 words

    You may include Greek letters and special symbols, e.g. ° (degree sign), ® (registered trademark), etc. However, the system will not preserve tables. Tables may be included in your poster or presentation, but data must be reported in narrative format in the abstract submission.
       
  7. Confirmation: When you finish submitting your abstract, you will receive a confirmation screen verifying your submission and assigning a tracking number to your abstract. SAVE YOUR TRACKING NUMBER! It will serve as your identification number for corrections, scheduling, and notification. 

CorrectionsIf you must change your abstract, log in as a returning user with your email address and password. You will be able to edit your submitted abstracts (until April 8, 2024) by clicking on the ID number of the abstract you wish to edit. DO NOT CREATE A NEW SUBMISSION.

NOTEYou can edit your completed abstract an unlimited number of times until the deadline, for example, to add an author or correct spelling, etc. However, after the deadline, no changes of any kind can be made.

IMPORTANT: Anyone involved in the planning, development, or delivery of the 2024 Annual Meeting is required to provide disclosure on all financial relationships of any amount currently or previously held with ineligible companies within the last 24 months. Ineligible companies are defined as any entity producing, marketing, selling, reselling, or distributing health care products used by or on patients.

Examples of any financial relationship may include, but are not limited to: receiving a salary, royalty, intellectual property rights, consulting fee, honoraria, ownership interest (e.g., stocks, stock options or other ownership interest, excluding diversified mutual funds), or other financial benefit associated with roles such as speaking and teaching, membership on advisory committees or review panels, board membership, and other activities from which remuneration is received, or expected. The extent of the relationship explains the scope of the relationship in terms of monetary amount received, time frame of relationship, etc.

 Anyone refusing or failing to complete a disclosure form will be disqualified from participating in the 2024 Annual Meeting as a planner, content developer, faculty/presenter, and will not have control of, or responsibility for, the development, management, presentation, or evaluation of the 2024 Annual Meeting. 

All presenting authors of accepted abstracts will be required to fill out an online disclosure form. 

POSTER INFORMATION 

  1. Poster Size Requirement: Posters must fit within a 45-inch by 45-inch (1.1 by 1.1 m) space. There will be 2 presentations sharing one side of a 4x8 foot board. NAME reserves the right to remove posters that exceed the size requirement.
  2. Posters must be attended by the Presenting Author during the assigned time period(s). Award applicants may be required to attend their posters at additional designated time period/s. The poster attendance schedule will also be noted in the Meeting Program.
  3. If the scientific content of the submitted abstract has been altered since its submission, a notice that a revised abstract has been posted must be included.
SUBMIT YOUR ABSTRACT
